We're Hiring: Communications & Events Coordinator

ABOUT VICA

The Vancouver Island Construction Association (VICA) serves over 450 member companies and their employees from across Vancouver Island, the Gulf Islands, and coastal British Columbia. With offices in Victoria and Nanaimo, we provide the local construction industry with training, skilled labour, business intelligence, and networking opportunities to help them grow their business while raising industry standards of excellence. We are a not-for-profit organization and our small but mighty team is made up of passionate people who show up every day ready to go above and beyond to serve our membership and build relationships with industry stakeholders.

SCOPE OF WORK

This is a one-year maternity leave contract with a possibility of extension.

The Communications and Events Coordinator is responsible for assisting the communications efforts of the association with guidance from the Manager of Marketing and Communications, as well as coordinating various association events.

RESPONSIBILITIES

Communications (0.5)

  • Provide general communications and marketing support to the Manager
  • Schedule social media posts/events, monitor engagement, track results
  • Support production of e-newsletters and maintain email marketing lists
  • Update website, as needed, including writing web copy and formatting
  • Monitor and track media pick-up and maintain up-to-date media contact list
  • Coordinate swag and print material ordering
  • Design marketing collateral for various programs, as needed
  • Research marketing opportunities and report to the Manager

Events (0.4)

  • Manage event logistics (e.g., registration, seating, A/V, catering, set-up)
  • Coordinate with venues, caterers, partners, and other event stakeholders
  • Calculate event budgets and manage expenses from start to finish
  • Develop sponsorship deliverables with Manager; secure event sponsorship
  • Create event surveys; track and evaluate key performance indicators with Manager
  • Coordinate VICA Board of Director meetings

Administration (0.1)

  • General administrative tasks
  • Back up for front office staff, including statutory declarations and copy orders

QUALIFICATIONS

  • Must have a degree or diploma in Communications, Marketing, or Business Administration and/or a minimum of two (2) years of related experience.
  • Excellent written and verbal communication skills, with attention to detail
  • Computer literate: strong working skills with Microsoft Word, Excel, and Outlook, including mail merge, report formatting, and database management
  • Knowledge and experience with social media for business using best practices, with a focus on Facebook, LinkedIn, Instagram, and Twitter
  • Understanding of key design principles and experience with design programs
  • Valid BC Driver’s Licence
  • Knowledge of the construction industry considered an asset
  • Working relationships with the local media considered an asset

CONDITIONS

  • Interacts with colleagues, management, members, stakeholders, and the public
  • Located in Victoria; travel may be required
  • Standard work week with occasional work outside of regular office hours to support VICA initiatives such as after-hour or weekend events.

This job description covers the direct duties and responsibilities of the Communications and Events Coordinator; however, in unusual circumstances, the CEO of VICA may assign additional tasks.
